Business Operations Manager

About the Organization: 

In the San Francisco Bay Area, there are over 20,000 youth aged 16-24 who historically are excluded from the education, employment, and social support they need to successfully transition to adulthood. The events that occurred in 2020-21 caused the already growing opportunity gap to expand exponentially.    

Founded in 1981, New Door Ventures was borne out of the belief that by providing resources for youth to build foundational education and job skills, personal support, mentorship, and pathways to higher education and career opportunities, these young people can experience greater economic opportunity and stability in independent adulthood.  97% of New Door youth are low-income people of color who are experiencing barriers to employment and education. New Door clients represent a population of historically excluded youth in San Francisco. A typical client profile has a combination of critical risk factors: limited work experience, a background in foster care, justice system involvement, substance abuse histories, experience of homelessness, connection with gang activity, and lack of positive adult support.

Under the leadership of the CEO, the New Door operations team provides the supportive structure to the organization, allowing staff to focus their efforts outward on program delivery and success. While the tactical work can often be transactional in nature, the team prioritizes relational task management in order to build trust and shared accountability across all functions of the organization. New Door Ventures is currently seeking an operationally strong, tech savvy Business Operations Manager to join the operations team.   

About the Team: 

New Door’s Operations team is critical to the success of our program staff and youth participants. The team includes CEO, Director of Finance and Administration, Payroll Accountant, Director of People Operations, People Operations Specialist who take seriously the responsibility for “keeping the lights on” for New Door Ventures. Together, they ensure that New Door professional staff have what they need to provide exemplary services to our youth and other stakeholders while they experience an efficient, supportive work environment. 

About the Position:  

The successful candidate for this position will self-identify as organized, efficient, and adaptable and be comfortable managing upstream, downstream, and laterally. The Business Operations Manager plays three key roles: 

  1. Manager of business operations and processes including IT, facilities, vendors, contracts, IT, internal communications, and Microsoft systems management and 
  2. Executive Team support. 
  3. Office and Facilities management

The role is hands-on and in-person, based in New Door’s San Francisco (Mission District) headquarters location. Occasional travel to, and support of, our East Bay program location and team are required.

What Success Looks Like:

A typical day for New Door’s Business Operations Manager includes monitoring and enhancing the organizations operations while ensuring all team members are able to effectively do their best work every day. 

Office Administration and Operations Support Responsibilities:

Administrative support to our CEO, including support of board meeting materials, minutes, and other board gathering support as requested. Project manage and serve as New Door “Conductor” for cross-functional items including

  • Ensuring all-staff functions are calendared – leading to more staff being able to attend events
  • Support event planning for team meetings, both virtual and live
  • Lead monthly cross-functional operations team meeting 
  • Primary point of contact for all facilities vendors including contract maintenance and timely calendaring of regular building maintenance tasks 
  • Make recommendations for operations budget and maintain ownership over spending
  • Coordinate the coming and going of mail with the development and payroll teams
  • Building supplies management for all needed items from ink and post-it’s to snacks, chairs, and PPE
  • Collaborate with program operations staff to support youth supply needs 
  • Engage with our youth reception / senior internship programming and serve as a resource for on-site youth staff 
  • Liaise with custodial staff to ensure efficiency and capacity

IT and Telecomm Responsibilities:

  • IT management including Office 365 and SharePoint, Zoom, DocuSign, and company cell phone accounts
  • Onboarding and offboarding staff on Office 365 Suites and Azure remote Directory
  • Primary liaison to external IT support team
  • Computer inventory management, including assigning computers to new staff and managing the health of assigned technology
  • Tech supply management including supporting program staff with procurement
  • Management of HQ phone system and telecommunications
  • Setting up new platforms and tech as the organization grows

Administration and Executive Support:

  • Office event organization and execution (monthly all-hands meetings and special events)
  • Board meeting preparation and other board gathering support as requested
  • Scheduling support for CEO and other projects as assigned
  • Engagement with decision making processes for systems changes (ie: executive expense reports, tech recycling and supplies management)

Preferred Qualifications & Skills:

  • 1-3 years of administrative office management experience, non-profit knowledge preferred
  • Strong collaboration & interpersonal skills; a builder of mutually beneficial relationships
  • Adaptable, able to perform to a very high standard in changing circumstances using creativity in problem solving 
  • Positive, socially capable, and highly culturally competent
  • Excellent written and verbal communication skills and attention to detail
  • Strong organizational and technical skills – able to develop systems of organization with minimal direction
  • Project Management experience (knowledge of “MOCHA” a plus) 
  • Takes initiative and uses evidence to learn, identifies ways to improve processes and comfortable making quick decisions with available facts
  • Organization wizard, who thrives on creating scalable, easy to implement systems
  • Presentation software (Microsoft PowerPoint) and design skills
  • Proficiency and experience with data management software, (Salesforce, Apricot a plus); knowledge of Microsoft Suite and SharePoint
  • Initiative and time management; comfortable seeking information and asking for help when need
  • Driver’s license and a clean driving record, as well as the ability to drive a rental car (ZipCar or Getaround)
  • Desired, but not required: Bilingual language capabilities, preferably Spanish

Compensation
The Business Operations Manager will earn a starting salary of $67,500.00. Compensation is reviewed annually based on performance, cost of living, and internal equity. New Door offers a generous benefit package including: medical, dental, vision, matched 403(b) retirement savings plan, tuition reimbursement, 13 vacation days per year, commuter benefits, and 13.5 company holidays per year.
